TU & YOU is a joint initiative of TUHH, Verein der Alumni und Förderer der TUHH e. V., Stiftung der TUHH and TUTECH INNOVATION GMBH with the aim of building a close competence network between alumni, students, professors and employees of TUHH as well as representatives from business, politics and culture.

TUHH attaches great importance to the protection of your personal data. Therefore, we inform you in the following text about the data protection of your data in the context of the use of our network.

1. Name and contact details of the data controller and the data protection officer

2. Processing of personal data in the context of the alumni office

The subject of data protection is your personal data, i.e. individual details about your personal and material circumstances (Art. 4 No. 1 DSGVO), which are either taken over from the TUHH student administration system by data transfer after exmatriculation, transmitted to us for processing by you by online self-registration or communicated to us in paper form for an association membership and supplemented or corrected by later information by mail or online form.

a) Data transfer from the student administration system

When transferring data from the student administration system, the following categories of personal data are transferred:

  • Name (title, surname, first name, maiden name)
  • Date of birth
  • Sex (gender)
  • Address (surname)
  • Telephone number and e-mail address
  • Information about the course of studies and graduation,

 

The purpose of the Alumni Department’s use of data is to maintain follow-up contact between alumni and the TUHH. In addition to invitations and information from TUHH (e.g. newsletter, alumni magazine, invitations to events), follow-up contact also includes offers to get involved as an alumnus, e.g. as a testimonial, as mentors, speakers or scholarship providers, or addresses within the framework of fundraising.

According to Art. 6 para. 1 lit. e, para. 3 DSGVO in conjunction with § 111 para. 1 and para. 8 Hamburgisches Hochschulgesetz (HmbHG) in conjunction with the statutes of the Hamburg University of Technology on the collection and processing of personal data, the TUHH may process the necessary personal data of former university members to maintain contact.

As a matter of principle, we process and store your personal data within the scope of our alumni work only as long as it is necessary for the fulfillment of TUHH’s tasks. In the interest of the person concerned, as little data as possible is stored. Your data will be deleted if the TUHH no longer needs them to fulfill its tasks, if you request the deletion of your data in writing (objection, Art. 21 para. 1 DSGVO) or if the university is notified of your death and provided that there are no legal obligations for further storage.

In addition, in accordance with archiving regulations, documents must be offered to the State Archives before they are deleted. The latter decides on the transfer of documents.

b) Data received by the Alumni Office via online registration or application form

Not only alumni can register for the TU & YOU network, but also students, (former) employees, friends and donors. You have the possibility to provide us with the following categories of personal data via online self-registration or via registration form (paper).

Mandatory information for online registration is:

  • Name (surname, first name, maiden name)
  • Date of birth
  • Sex (gender)
  • Address (surname)
  • E-mail address
  • Reference to Hamburg University of Technology
  • Information on course of studies and degree
  • Professional position

 

Voluntary data are:

  • Title
  • Telephone number
  • Employer information such as company, industry, and position

 

Again, the purpose of the Alumni Department’s data use is to maintain follow-up contact between alumni and TUHH. In addition to invitations and information from TUHH (e.g. newsletter, alumni magazine, invitation to events), follow-up contact maintenance also includes offers to get involved as an alumnus, e.g. to accompany students, as mentors, speakers or scholarship providers, or addresses in the context of fundraising.

The legal basis for the processing of your data is, insofar as you have provided us with your data with your registration for the alumni network via online self-registration, your consent in accordance with Art. 6 Para. 1 lit. a DSGVO.

For data that has reached the Alumni Office via online registration, consent to processing can be revoked at any time. The revocation is valid for the future. The revocation of consent does not affect the lawfulness of the processing carried out on the basis of the consent until the revocation. The revocation shall be sent by e-mail to the processing entity (tuandyou(at)tuhh.de).

c) Data processing of our members of the Freunde und Förderer der TUHH e.V. (Alumni Association).

In addition, you have the option of registering in our Freunde und Förderer der TUHH e.V. (Alumni Association) as part of the online registration on our site. By becoming a member of the TUHH Friends and Supporters Association, you can continue to use your TUHH email and support students and projects at TUHH. In addition to the data we collect during online registration, we also ask for your bank account details in the case of direct debit for the purpose of paying dues.

The data is processed on the basis of Art. 6 Para. 1 lit. b DSGVO for the purpose of establishing and processing your membership. Your personal data will only be processed for the duration of your membership.

d) Recipients of the personal data

The alumni data will be forwarded by the Alumni Office of the TUHH to appropriate employees who are entrusted with the task of alumni activities. In addition, the Alumni Office cooperates with the following external service provider for the provision of the system:
